Versions and review
Sealing a version, comparing versions, checking in Word files, and sending a version to reviewers who need nothing installed.
A version is the paper as it read at one moment, kept unchanged afterwards. Seal one whenever you send a chapter out, and it will always show what you sent.
Sealing a version
On Versions, optionally say What is this version for? (for example Sent to my supervisor), and press Seal it as it stands. If the paper is over or under its length limit, the workbench warns you, but you can still seal it: a draft is often sealed before it is cut.
Each version is listed with its sections, the day it was sealed and its citation style. Each has the buttons Word, PDF, Changes since and Share for review, and shows how many review comments came back.
Comparing versions
Changes since, or the compare form (Compare Version 2 with the paper as it is now, or with another version), shows:
- A summary: words added and removed; sections changed, added, removed, moved or renamed; references now cited, no longer cited, or corrected.
- Each changed section, with insertions and deletions marked.
- The references that changed.
Tick Show the sections that did not change to see the whole paper.
Papers written in Word
A Word paper has no editor in the workbench. Each time you send it out:
- Drop the .docx on Drop the Word file here, or choose it, and optionally add a note (Sent to the journal).
- Press Check it in.
The workbench reads its sections, pictures and citations. Zotero citations in the file (from the Zotero Word plug-in) are matched to the project's references that came from Zotero, so its claims can be checked against their sources. The original .docx is kept in a folder called Word papers.
Sending a version for review
Share for review makes a review package: a single file the reviewer opens in any web browser, with nothing to install and no account. They select passages, comment on them, press Save comments, and send you back the file it makes.
- One person: type who it is for. The workbench lists what it will leave out and why. Anything labelled special category is always left out. Personal data needs you to confirm the reviewer may see it.
- A list of this project's: a people list whose purpose is papers to review. The workbench prepares one e-mail draft per person, each with their own named package, which opens in Outlook, Apple Mail or Thunderbird. People who unsubscribed, withdrew, have no address, or never agreed are left out, and the workbench says why. It sends nothing itself. See People and mailings.
A package cannot be recalled once it has been sent.
Bringing comments back
Import a review… reads the file a reviewer sent back. Its comments appear on the version, each with the reviewer, the section and the passage, and with Show in the text and Dealt with. Open comments are carried onto later versions and onto the whole paper, so nothing is lost when you keep writing.
